JOB PURPOSE: 

The Tendering Officer is responsible for executing the day-to-day administrative and operational stages of the procurement lifecycle to ensure the timely acquisition of goods and services. This role serves as a vital coordinator between technical departments and suppliers, ensuring that all tendering activities are conducted in strict accordance with company policy and commercial standards.


Profile

RESPONSIBILITIES/DUTIES 

Tendering Execution & Sourcing

Execute the end-to-end tendering process for assigned categories such as Facility Management and Site Services under the guidance of the Procurement Manager.

Coordinate the distribution of RFP/RFQ packages to pre-qualified vendors and manage the administrative flow of supplier queries and clarifications.

Support commercial negotiations by preparing comparative cost analyses and ensuring all vendor submissions meet the mandatory technical requirements.

Data Management & Market Analysis

Maintain accurate and up-to-date category and supplier profiles within the digital procurement database to ensure data integrity.

Perform quantitative analyses on vendor bids to assist senior leadership in identifying the most cost-effective procurement outcomes.

Track and report on basic procurement metrics, including vendor response times, payment term adherence, and order fulfillment rates.

Supplier & Stakeholder Coordination

Manage day-to-day supplier relationships, acting as the primary point of contact for resolving delivery issues or documentation discrepancies.

Update supplier scorecards regularly, ensuring that performance data is captured accurately for quarterly business reviews.

Collaborate with internal departments to clarify technical specifications and ensure procurement activities remain aligned with departmental needs.

Handle any additional tasks assigned by the direct manager.

Promote a positive safety culture within the workplace and attend any safety-related meetings or briefings as required within the job role.

Comply with the requirements of RDMC RQHSE Policy and Safety Management System.

ESSENTIAL QUALIFICATIONS, KNOWLEDGE & EXPERIENCE

QUALIFICATIONS: 

Bachelor’s Degree in Business Administration, Supply Chain Management, or a related field (Engineering background is a plus).

KNOWLEDGE: 

Strong proficiency in Microsoft Office Suite, specifically Excel (vLookup, Pivot Tables) and experience with ERP procurement modules.

General understanding of procurement cycles, sourcing methodologies, and basic contract terminology.

Familiarity with local commercial regulations and standard corporate ethics policies.

EXPERIENCE: 

3-5 years of professional experience in procurement or tendering roles, preferably within a corporate or industrial environment.
